Position Description: CSRA is seeking an experienced Administrative Assistant/Travel Preparer to provide extensive travel support for leadership and Division staff and administrative support for leadership for a Centers for Disease Control and Prevention (CDC) customer. Applicants must currently possess an active or interim Secret level national security clearance to be considered. The selected candidate will:

• Arrange travel and accommodations for customer staff members to include, preparing travel orders, memos, travel vouchers, and support documentation for approval and disbursement of funds • Interface with travel requesters and ensures appropriate travel policies and procedures are correctly carried out • Provides afterhours travel support as needed • Perform a variety of secretarial and administrative duties for assigned senior staff members and for specific assigned tasks • Meet with assigned senior staff members on a daily basis to review calendar and provide any pertinent updates • Manage the calendar of the assigned senior staff members by responding to meeting invites and inquiries, noting dates and times of important events and rescheduling meeting as needed, while allowing sufficient time to travel to and from all meetings and events • Provide planning and scheduling of meetings for senior level staff members • Handle incoming internal/external telephone calls for the assigned senior staff members and for the main extension for the Division during normal business hours and ensure that inquiries are answered tactfully, pleasantly, and intelligently based on a substantive knowledge of program operations, personnel, and policies • Review drafts and finished documents for appropriate grammatical usage • Review outgoing correspondence for proper attachments, signatures, clearances and conformance to Division procedures • Use strong interpersonal skills to provides substantial coordination and interface with other Government, Partners, agency Coordinating Center staff and Division staff • Compile and edit weekly and quarterly reports and meeting minutes • Maintain, work with, and control departmental documents containing confidential information while exercising sound judgment in safeguarding data and access to data • Monitor all Division conference room schedules and resolves scheduling conflicts as needed • Track the production of reports and outgoing correspondence to ensure suspense dates/times are met including coordinating the efforts of various staff members • Update and maintain databases and/or spreadsheets in support of and for Division-related purposes • Coordinate special projects by developing project plans and schedules • Process incoming and outgoing materials such as correspondence, reports. memoranda, and other forms of written communication • Edit letters, compose letters and reports, review correspondence for accuracy and completeness, prepare public presentation outlines, and develop letters for replies to inquiries • Develop background information and prepare outlines for assigned senior staff presentations, papers, and reports • Perform work involving the collection, compilation, and/or tracking of data and statistical information in support of senior level staff members • Provide guidance and direction on an as needed basis to other administrative staff • Provide backup support to other administrative staff

Qualifications: Knowledge and Ability: Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Excellent communication and interpersonal skills; strong secretarial skills and competencies including demonstrated knowledge of correspondence preparation, proofreading, spelling and grammar skills. Exceptional skills in Concur Government Edition (CGE), Integrated Conference Approval Portal (ICAP), Microsoft Office (Outlook, Word, Excel, and PowerPoint), Microsoft SharePoint 2013, Adobe Acrobat and Internet research. Demonstrated proactive approaches to problem solving with strong decision-making capabilities. Forward looking thinker, who actively seeks opportunities and proposes solutions. Key attributes also include self- motivation and self-direction, flexibility, the ability to work independently as well as in a team; a mature and positive perspective, courtesy, tact and diplomacy. The ability to work while demonstrating a high degree of discretion and confidentiality. Must be able to work occasional extended hours as needed.
