Position Description: The Prevention Research Center (PRC) seeks an exceptional individual for a full-time (32-40 hours per week) Site Administrator, in our Oakland office. The position will provide administrative and research grants management support while assisting in managing site operations to ensure that the Center is in compliance with PIRE and funding agency procedures and policies. This position offers an excellent opportunity for the right candidate to develop research grants management skills while providing exceptional support to researchers and staff at the Center. The successful candidate will assist with the production of grant proposals, documents, manuscripts, and graphics; facility management; accounts payable; state and federal compliance; HR activities; and budget preparation for proposals. Some Primary Duties and Responsibilities Prepare electronic or online proposal and grant application packages; prepare required forms and assist with development of budget documents Process and assist in HR functions including onboarding of new hires, separations, and other related functions Assist in processing accounts receivable and accounts payable Assist in maintenance of paper and electronic grant and administrative files Edit manuscripts, letters, PowerPoint presentations, and other documents Provide word processing support to research staff Assist the Training Grant Program Administrator with placement of ads; preparation of new hire documents, reimbursement requests, reappointments, and separations; and coordination of applicants and staff during interview process Maintain sub recipient and consultant tracking spreadsheets Provide proactive facilities support to ensure site operations remain uninterrupted

Qualifications: Bachelor’s degree preferred; experience plus education and demonstrated skills for this position will be considered in lieu of degree Two or more years of administrative and/or management experience, preferably in an academic or research institution Proficiency in the MS Office Suite of products Advanced use of MS Word and effective use of spreadsheet skills to maintain and modify budgets and forecasts Problem solve using analytical reasoning Excellent verbal and written skills to work effectively with all levels of internal staff and outside contacts Ability to work independently with minimal supervision, as well as with a diverse team of individuals Demonstrated ability to organize workflow and manage multiple and competing priorities in a fast-paced administrative environment Strong attention to detail Demonstrated proofing skills Excellent punctuation, spelling, and grammar skills Ability to maintain confidentiality Provide limited IT support Exhibit a professional and courteous demeanor while providing all facets of facilities and administrative support to the Center and its employees

Organization Description: The Prevention Research Center of PIRE has a significant national presence in the area of applied science, with funded research projects at its centers on prevention, treatment, and policy research. PIRE scientists and practitioners continually focus on the design and implementation of complex program evaluation strategies and the conduct of research related to health and social issues, and criminal justice.
