Position Description: The CDC Foundation seeks a full time specialist (PS) to assists the Programs Department leadership and/or designated programs and projects by providing operational and administrative support. Under the guidance of the direct supervisor, the PS is responsible for the coordinated support of department leadership and designated programs and projects. In particular, the PS will maintain systems for tracking documents such as reports and contracts; develop and track contracts, agreements, and payment requests; support arrangement of travel; and support meeting planning.

Duties and Responsibilities

Bachelor’s degree from an accredited college or university preferred. Minimum of 1-3 years of related professional experience with a bachelor’s degree. Minimum of 5-7 years of related professional experience without a bachelor’s degree. Highly detail oriented, works well within a diverse team, demonstrates a high degree of initiative and flexibility, able to communicate effectively in a positive and professional manner, able to prioritize activities when under tight deadlines, and possesses analytical skills. Strong technical skills including word processing, spreadsheet development and management, and database management, with a particular emphasis on proficiency in Microsoft Office Suite. Excellent written and verbal communication skills with particular experience reviewing and editing documents. Experience with enterprise resource planning systems and software packages used to manage day-to-day business activities such as accounting, procurement, and project management preferred. Ability to solve problems in a timely and efficient manner. Ability to represent the CDC Foundation at internal and external meetings. Outstanding interpersonal and teamwork skills; collegial; energetic; and able to develop productive relationships with colleagues, stakeholders, and partners. Ability to handle confidential information in a discreet and professional manner.

Qualifications: Qualifications and Necessary Skills

Solves problems by searching for information, proactively seeking input and guidance from team members, and developing innovative and creative processes. Maintains efficient databases, filing systems, and tracking systems for the designated team. Tracks the development, renewal, and closeout of contracts and agreements in a timely manner. Supports Programs Department leadership team with various administrative components of departmental operations. Processes, reviews, submits, and tracks payment requests, including invoices from sub-grantees, consultants, contractors, and vendors; travel reimbursements; and credit card payments. Coordinates and arranges project meetings and workshops in collaboration with team members as well as internal and external stakeholders. Supports team-related international and domestic travel bookings for team members as well as internal and external stakeholders. Assists team members with review and formatting of documents. Takes minutes at team meetings and updates team project tracking document. Supports team-related procurement of supplies and equipment for the designated team and at the direction of other team members, managing inventory of equipment and supplies as needed or appropriate. Supports CDC Foundation team members at meetings with CDC, donors, and other stakeholders. Serves as the contact person in the absence of team members, in this capacity, the PS acknowledges receipt of correspondence and follows up on urgent matters with appropriate internal staff. Provides administrative and operational support to CDC Foundation team members managing field employees such as reviewing and approving time and attendance of field employees, drafting position descriptions, completing annual renewals, scheduling supervision, conducting preliminary review of field employee applicants based on guidance from the hiring manager, etc. Participates in and/or supports special projects and other duties as assigned.
