Purpose: Under the guidance of Project Coo Coordinators/Leads, this position provides adm administrative and clerical support to pub public health projects. Primary tasks inc include meeting/training/event planning and hos hosting, material preparation, document man management, data entry, note taking, and oth other duties as assigned.
Meeting/Training/Event Support R Responsibilities • Research venue/catering options that a appropriately meet the needs of specific m meetings/trainings/events. • Coordinate logistics for project meetings, trainings, and events, including establishing and overseeing the contract, communicating with the venue, preparing and coordinating registration and related questions from participants, and assisting on-site the day of m meetings/trainings/events. Understand the c commitments agreed to in the signed c contract, ensure proper room settings and a audiovisual equipment, and arrange for o overnight stays and refreshments. • Provide responsive support in-person at meetings/trainings/events, including coordinating the registration table, being a liaison between venue staff and MPHI staff, supporting all set-up and break down a activities, and taking meeting notes as n needed. • Assist in the preparation of project m materials and products for m meetings/trainings/events, including c creating documents such as agendas, r registration forms and invitations, attendee l lists, sign in sheets, name tags, etc., m making copies, and collating participant p packets/binders of information. • Support and complete any post meeting/training/event wrap-up including c creating event evaluation reports, creating a and disseminating any event summaries/notes, c coordinating all leftover event materials. • Plan, inventory, and order event sup supplies as needed.
Document Management Responsibilities • Tracking and saving of documents r received by projects. • Generate, input, edit, and proofread r reports, correspondence, charts, graphs, and o other documents using word processing and s spreadsheet software. • Create, save, and distribute meeting min minutes.
Other Project Support Responsibilities • Collect and enter data as project n needs arise. • Support staff in meeting project g goals. • Disseminate project related i information to the appropriate persons. • Maintain a positive, strong, c credible, professional presence and i interpersonal relationship with all parties r relevant of MPHI projects, and represent the b best interests of MPHI at all times. • Actively participate in project t trainings, project team meetings, and CHC s staff meetings. • All other duties as assigned.
Education: Possession of a Bachelor’s degre degree preferred but not required.
Experience: A minimum of two years of rel related work experience in duties like des described above.

Work Environment and Physical Requirements: Project Assistant must be able to work in a standard office environment located in Okemos, MI. The job requires moderate physical lifting of materials and equipment of fifty pounds or less and requires viewing a flat panel computer display 60% to 85% of the time. May require valid vehicle operator’s license and/or in-state travel.
