Purpose: This position will serve as the MiTEC MiTEC Program Assistant reporting to the MiTEC MiTEC Training Center Director. The MiTEC Prog Program Assistant is part of a dynamic weat weatherization training center team that prov provides superior learning opportunities to prof professionals in the home performance, resi residential, and construction energy effi efficiency industries.
Duties and Responsibilities:
• Provide administrative assistance f for building coursework, training content, a and certifications associated to the program. • Aids in supporting coordination efforts with the Michigan Department of Health and Human Services (MDHHS), Bureau of Community Action and Economic Opportunity’s (BCAEO) weatherization team to stay up-to-date regarding relevant changes to curriculum and coursework as updated to reflect federal and state program requirements, risk assessments, and monitoring results.
date regarding relevant changes to c curriculum and coursework as updated to r reflect federal and state program r requirements, risk assessments, and m monitoring results. • Assist with maintaining the master t training schedule. • Assist with ensuring that courses a and training events are properly planned and e executed at partner sites, in the field, and o online. • Assist in maintaining a course c catalog, send student reminders, update the o online Learning Management System (LMS), and S SharePoint. • Maintain documents included in the G Grants Management and Monitoring database. • Ensure all monitoring from start to f finish is documented completely and all s staff complete required work on time. • Assist in ensuring all training r records for courses, instructors, and s students are complete and accurate using the o online Learning Management System [LMS], S SharePoint, and other internal databases for r record keeping and reporting. • Assist with special energy e efficiency projects, research, and tracking o of large amounts of data for use in the c classroom and in the weatherization network. • Assist the MiTEC Director throughout t the IREC accreditation process as needed. • Event planning for all BCAEO a activities such as conferences, field t training activities, Commission meetings, w webinars, leadership meetings etc. • Maintain and update the SharePoint C Calendar, SharePoint monitoring reports, and S SharePoint contracts. • Provide general program assistant support such as scheduling meetings, ordering supplies, sending reminders, copying training materials, preparing sign-in sheets, assisting with payroll, and responding to calls.

Education: A high school diploma or equiv equivalent is required for this position.
Experience: A minimum of three years of pro program assistant related experience.
Important Skills and Characteristics: • Proficient in Microsoft Office. • Attention to details. • Ability to work effectively as a team member in office settings, field training events and MiTEC and BCAEO s sponsored events. • Exercise good judgement and maintain c confidentiality. • Ability to organize and prioritize m multiple tasks. • Strong written and verbal c communication skills. • Demonstrated customer service skills in a high pace, service-orientated e environment. • Collaborative, positive, team-oriented attitude coupled with ability to work independently and solve problems.
Work Environment and Physical Requirements: Job may require moderate physical effort including lifting materials and equipment. It will also involve viewing a CRT or VDT screen 25% to 75% of the time and the use of other standard office environment. This position will require the MiTEC Program Assistant to support mobile staff members, located at home office sites, satellite locations, and other spaces as required. Travel throughout the state to the training center satellite locations and partner facilities will be required. In addition, travel to conferences and other state and out-of-state events may be required.
