Position Description: The Program Assistant is responsible for providing the necessary support to the Guinea Worm Eradication Program (GWEP) by answering phones; drafting correspondence; handling logistics of meetings, conferences, and special projects; researching information for reports and presentations; preparing and processing travelers; assisting staff with administrative functions (including data entry of programmatic expenses); assisting in submission of publications; maintaining office functionality; and handling department procurement. This position will report to the Senior Associate Director. Due to potential travel, Hostile Environment Awareness Training (HEAT) will be required.

KEY RESPONSIBILITIES:

Provides administrative and logistical support for projects, initiatives, and programs within an NGO environment. Assists assigned managers and team members by maintaining calendars, receiving and composing communications as correspondence, and replies to inquiries. Handles preparations, scheduling, logistics, and other various requirements for domestic and international travel. Drafts contracts, budgets, and donor reports with direction from manager. Processes financial documents including contracts, expense reports, invoices, etc. Writes routine reports and correspondence, and assists with the development of project/program materials. Organizes meetings and events. Works with and maintains data management and filing for projects/program. Serves as an administrator of work product with other programs/departments, i.e. finance, program development, public information, etc. Liaises and communicates with project consultants and field office staff, providing logistical and administrative support, as directed. Conducts research and provides support to one or more staff members in regards to project and programmatic efforts. May supervise work study students and volunteers. Performs other related duties as required.

Qualifications: MINIMUM QUALIFICATIONS:

A high school diploma or equivalent and five years of administrative experience, OR a bachelor's degree. Proficiency with various personal computer software applications.

PREFERRED QUALIFICATIONS:

A Bachelor's degree in business administration, communications, or a related field. Three years of office administration, senior secretarial or related experience or seven years of office administration, senior secretarial or related experience in lieu of a bachelor's degree. The successful candidate will have the ability to work in a fast-paced environment and must exhibit a cordial demeanor and be capable of day-to-day organization and follow-up. Proficiency in Microsoft Word, Excel, PowerPoint, SharePoint and Adobe Acrobat are required. Experience with entering data into a financial management system or enterprise resource planning software such as QuickBooks, PeopleSoft, Unit4 or other similar systems is preferred. Experience with international travel or work is beneficial, but not required. Fluency in written and spoken Portuguese or French is an advantage.
