Position Description: The American Academy of Pediatrics (AAP), the nation’s leading advocacy organization for children’s healthcare, seeks an organized, detail-oriented Program Coo Coordinator to provide administrative sup support and coordinate assigned program act activities to support the completion of out outcomes specific to the HPV vaccination imp improvement project.

Some duties include: 1. Coordinate, track and process agreements with consultants and sub-recipients, as well as grant award agreements with AAP Chapters. Create and maintain a system to track deadlines, deliverables, and submission of invoices. 2. Coordinate the promotion and dissemination of project materials and educational offerings, including printing and shipping. 3. Provide technical support for project recipients, as well as grant award ag agreements with AAP Chapters. Provide technical support for project-related webinars and conference c calls. 4. Provide resources and technical assistance to AAP Chapters. Manage follow-up c communications and refer inquiries to p program staff and advisory group members as n needed. Assist in responding to and tracking t technical assistance inquiries. 5. Assist in developing, maintaining, and monitoring of HPV-related pages on the AAP.org AAP.org and healthychildren.org Web sites, includi including posting content, testing links, and wor and working with consultants and program manager managers to develop new Web pages. 6. Coordinate and participate in projec project meetings and conference calls, includ including scheduling appointments and prepar preparing related agendas, materials, and minute minutes. Assist in coordinating follow up. 7. Plan and coordinate administrative and l and logistical details for meetings and trave travel. Work with AAP Convention and Meeting Servi Services staff and/or external groups as neede needed to manage meeting logistics such as invit invitations, registration, hotel, catering, audio audiovisual, and transportation arran arrangements. Provide onsite meeting assis assistance as needed. 8. Assist in data collection and trac tracking for project evaluation activities. 9. Assist with managing and processing the the various applications, approvals, doc documentation, and certifications required by by the project, including Continuing Medical Edu Education, Institutional Review Board, Mai Maintenance of Certification, and the AAP Qua Quality Improvement Data Aggregator. Mai Maintain databases related to tracking par participant completion of project req requirements. 10. Assist in the preparation of grant ma materials including, but not limited to, fu funding proposals, continuation application ma materials, progress reports, and funder up updates. Participate in the development of gr grant applications, creating lists of re required elements, personnel re responsibilities, deadlines, and other re relevant information, tracking progress and se serving as the central repository for pr proposal components. 11. Process expense forms, check r requests, credit card statements, and i invoices.

Qualifications: Qualifications Needed: 1. Bachelor’s degree in business, c communications, social sciences, health e education, health policy, public health, or a a related field or an equivalent combination o of relevant education and work experience r required. 2. At least two years’ administrative or or project coordination experience required, pr preferably related to public health pr programs. 3. Experience with educational p programming, online project tracking s systems/database management, meeting p planning, and Web site maintenance strongly p preferred. 4. Experience working with health professionals, state- or community-based pr programs, and grants management highly de desired. 5. Strong technical acumen with p proficiency in MS Office (Word, Excel, P PowerPoint,) essential; experience with Web e editing software (SharePoint, Publisher) and d databases preferred. Some overtime, weekend w work and travel required.
