Position Description: ***Bilingual Fluency in Spanish and English Preferred***

Responsible for the professional and efficient management of clients, visitors, telephone calls, and messages that flow through the Family Planning Clinic. Performs a variety of functions, including but not limited to data entry, record maintenance, scheduling of clients, accurate entries of information into the Electronic Health Record, accurate processing of client administrative information and fees, receiving department mail, and providing administrative support to the Family Planning Program.

Updates and ensures the integrity of the Electronic Health Record and other program databases. Responsible for accurate, timely data entry in accordance with program requirements. Greets and screens clients for requested services. Assesses client needs. Completes initial written and electronic records for new and established patients, as necessary. Makes return appointments, as necessary. Collects clinic fees and performs daily closeout of cash register per the Department Cash Receipts Policy. Assists in stocking exam rooms in standardized manner. Schedules client appointments for Family Planning clinic. Monitors supplies and equipment and communicates supply needs. Assists to inventory and maintain an adequate supply of medical record forms and assembles these into individual records as needed; inventories office supplies as needed and communicates needs. Develops and maintains a record room filing system. Provides appropriate records for appointments, audits as needed by the program. Ensures records are complete, up-to-date, and conform to all governing regulations. Assists in keeping work areas clean and organized. Participates in departmental emergency planning and response activities. Promotes public health within the community. Takes personal responsibility to provide exceptional customer service in order to promote and maintain a positive Public Health image, constructive working environment, and foster pride and professionalism in the workplace and community. Performs other duties as required.

Qualifications: High school diploma or equivalent education required. Must have at least two (2) years of administrative experience. Ability to communicate, motivate, and organize projects among a broad spectrum of personnel, frequently under deadline pressure. Skill in demonstrating a cooperative, professional attitude to cultivate relationships both within and outside the organization. Skill in prioritizing and organizing multiple tasks and the ability to complete projects in a timely manner. Ability to respond in a flexible manner and reprioritize work as situations change. Ability to demonstrate sound judgment by taking appropriate actions regarding questionable findings or concerns. Ability to identify problems and work creativity to resolve them, considering the impact of actions on Public Health. Ability to identify results of efforts and problems identified/potential problems and to develop and recommend corrective actions to supervisor. Knowledge and understanding of company policies and procedures. Ability to write and maintain accurate records and reports to meet management objectives. Ability to maintain the security of sensitive and confidential information. Ability to work independently and in a team environment. Ability to perform under stress and when confronted with persons acting under stress. Skilled in use of a personal computer and various software packages including Microsoft Office. Knowledge of community resources. Maintain regular and punctual attendance. An equivalent combination of related education and experience may be substituted for the education and experience requirements above. Must pass conditional post offer background investigation, drug screen, and physical examination. Licenses/Certificates Valid CPR Certification

Work Conditions Work is performed in a noisy environment with potential exposure to infections, blood, and contagious diseases. Must be able to lift up to 30 pounds. Public Health employees are responsible for providing proof of vaccinations and/or tuberculosis testing as applicable to the specific position and must provide proof of completion of required vaccinations/testing or proof of initiation within sixty (60) days of hire date.

The mild climate, on average, supplies 285 days of sunshine, 15 inches of rain, 35 inches of snow, and very low levels of humidity.
