Position Description: Duties and Responsibilities:

This role requires the employee to work onsite at the CDCF Headquarters, 600 Peachtree Street, NE, Suite 1000, Atlanta, GA 30308. Serves as the primary gatekeeper for the CDCF Headquarters, verifying employees, contractors, and guests adhere to building access policies, procedures and guidelines. Ensure reception desk coverage during office hours. Verify all visitors and guests adhere to CDC Foundation COVID-19 screenings, protocols, and policies before accessing the CDCF offices. Primary point of contact for processing building security card access, monthly parking and parking validation for employees, contractors, and visitors. Coordinate and manages building cleaning services in partnership with property management. Maintain reception area, break room/kitchen, conference room, copier rooms and other assigned areas in a neat, professional manner. Processes mail by receiving, separating and distributing all incoming mail received to the Foundation and taking all Foundation outgoing mail to the building’s outgoing postal mailbox, if necessary. Facilitate and manages DocuSign approval processes with senior executives and support staff. Keeping inventory, ordering, receiving and distributing all supply items for the office (office, kitchen and copy room supplies, PPE, USPS, UPS). Facilitates and manages the completion of service requests with building maintenance and property management contacts. Supports other administrative professionals as needed. Prepare invoices, reports, memos, letters, and other documents, using word processing spreadsheet, database, and/or presentation software. Other duties as assigned.

Qualifications: Qualifications and Skills Necessary:

Must be reliable, dependable, prompt, and timely. At least five (5) years in a public-facing, customer service role. Prior experience successfully managing telephones and the reception desk for an organization of over 2,000 employees. Exhibited proficiency in MS Office, including Word, electronic mail and calendars, Excel, PowerPoint and Internet navigation required. Exhibited successful application of interpersonal, communication, and organizational skills. Ability to draft accurate and grammatically correct correspondence. Thorough command of the English language, grammar and spelling when communicating verbally and in writing. Exhibited experience handling confidential information in a discreet and professional manner. Exhibited proficiency in computer (PC) and data management skills. Ability to manage multiple projects and priorities under tight deadlines.

Organization Description: The candidate is the first face that employees and visitors see and hear at the CDC Foundation Offices. The candidate will greet and assist CDCF employees, visitors and partners at the CDC Foundation Headquarters in Atlanta, GA, provide telephone coverage, and provide administrative support to CDCF Headquarters. The candidate must communicate effectively in a positive, friendly, and professional manner.

The candidate assists the Chief Operations Officer, Director of Business Operations and Human Resources with various administrative duties at the CDC Foundation by developing and maintaining files; collecting, reviewing, coding and verifying invoices; organizing meetings and conferences; general copying and mailing for all team members; arranging travel for selected staff; performing simple research, preparing short summary documents and supporting the activities of the CDCF Operations Manager. This person must be a self?starter, able to handle numerous telephone inquiries and multiple assignments with uncompromising attention to detail.
