Position Description: Responsibilities The Administrative Aide, located in the Capital Region, will provide administrative support to Fellowship Placement Coordinators, across New York State. The incumbent will be responsible for serving as a liaison between program staff, including eliciting information, and transmitting instructions. The incumbent will also be responsible for screening telephone calls, referring calls to appropriate staff, responding to basic inquiries; scheduling and coordinating meetings; assisting with the review of correspondence to ensure documents are organized, etc.; assisting with the creation of interview packets and scheduling interviews; maintain manual and automated filing systems; tracking meeting and interview materials; create, maintain and update databases and tracking programs for the New York State Public Health Corps Program activities; perform other duties including, but not limited to, ordering and distributing supplies, troubleshooting printer and copier issues, making photocopies, etc. Other appropriate related duties as assigned.

Qualifications: Minimum Qualifications Bachelor's degree in a related field; OR an Associate's degree in a related field and one year of general office, secretarial, or administrative experience; OR three years of such experience. If telecommuting is available, the incumbent will be required to have a telephone/mobile device, and internet access. Preferred Qualifications At least four years of secretarial experience. Experience with/knowledge of e-mail systems, specifically Outlook, and electronic calendars. Experience with/knowledge of Word, Excel, and Power Point; scheduling and hosting virtual meeting platforms (i.e. Zoom, Microsoft Teams, WebEx). Experience coordinating large meetings, conferences, or other forums, including vendor relationships/payments, logistics and materials.
