Position Description: The American Academy of Pediatrics (AAP), the nation’s leading advocacy organization for children’s healthcare, is seeking a strong program manager for a newly created 5-year project. This position will manage the development and implementation of project deliverables related to improving clinical and public health outcomes for infants and children with birth defects, infant disorders, and related conditions (BDID). While collaborating with relevant AAP groups, the Centers for Disease Control and Prevention (CDC), and other partner organizations, this role will ensure project activities are in alignment with other BDID- related initiatives, and the health of pregnant and postpartum people. In addition, this role will support the development of quality improvement (QI) learning collaboratives, case-based clinical round tables, communities of practice, and other educational and programmatic activities to ensure project activities are implemented effectively and on time; and provide support to overall organizational goals and objectives focused on children and youth with special health care needs.

Reporting to the Sr Manager, Children & Youth with Chronic Conditions, some tasks include: 1. Implement programmatic activities, including conducting a system of services needs assessment, resource development, promotional campaigns, awareness activities, and educational offerings, to educate and support pediatricians, pediatric subspecialists, and pediatric non-physician clinicians in patient- and family-centered care regarding BDID, and the health of pregnant and postpartum people. 2. Serve as primary staff to applicable advisory committees, working groups, and other related project teams, and provide appropriate follow-up with staff, consultants, vendors, volunteers, and other partners. 3. Coordinate and participate in the identification and convening of subject matter experts/faculty expert groups, related to the project, in alignment with the AAP Equity Agenda. 4. Collaborate with internal AAP groups/teams and external partner organizations (eg, and public health associations to achieve optimal program outcomes). 5. Facilitate AAP Chapter and external partner engagement in developing program activities to build capacity of pediatricians, pediatric subspecialists, families/caregivers, and public health professionals to improve health outcomes, and advance health equity for children with BDID. 6. Lead the development of project progress reports, funder applications, grant continuation materials, and other written materials in accordance with established federal requirements. Collaborate with AAP program Finance staff to support compliance with federal reporting requirements and maintain appropriate systems to track and evaluate program activities. 7. Plan, implement, and manage QI and assessment initiatives, including development of Institutional Review Board (IRB) protocols, Maintenance of Certification (MOC), and Continuing Medical Education (CME) application(s) and reporting. 8. Execute and coordinate the development, production, publication, and dissemination of materials related to BDID, including articles, handouts, newsletters, promotional materials, PowerPoint presentations, and content for AAP websites. 9. Collaborate with appropriate AAP staff, consultants, and vendors to expand and implement innovative communication strategies to share information, and assist with developing communication products, including public awareness campaigns. 10. Oversee work of program consultants and/or subcontractors, including preparation of subcontract and consulting agreements/contracts, as necessary. Assist with the management of expenditures, managing subcontract and consultant deliverables and project budgets. 11. Respond to inquiries and correspondence from program collaborators, AAP fellows and other physicians, allied health professionals, governmental agencies, higher education institutions and other organizations as it relates to program activities. 12. Perform all other duties as assigned.

Qualifications needed: 1. Bachelor’s degree in public health, health administration, public administration, health policy, education or related field required, or an equivalent combination of relevant education and work experience. Master’s degree preferred. 2. At least two years’ experience in program coordination and management required, including budget management, and fostering partnerships with internal and external partners; preferably in a medical association or national advocacy organization. Experience with public health planning and administration and grants management preferred, as well as knowledge of public health issues, health education strategies, prevention, and pediatric chronic conditions, and/or medical home and QI concepts. 3. Excellent organizational, project management, diplomacy, interpersonal, critical thinking, and communication skills required, including strong writing and proofreading skills. Must be able to manage multiple priorities simultaneously, work both independently and as part of a team, think creatively, take initiative, collaborate effectively with various internal and external constituents, and promote and maintain a positive and cooperative team- oriented work environment with a commitment to equity, diversity, and inclusion. Strong technical acumen essential with proficiency in MS Office and the ability to learn and apply new technologies; experience with web editing software (e.g., SharePoint, Publisher), project management software (e.g., Smartsheet), virtual meeting platforms (eg, Teams, WebEx, Zoom), social media platforms, and databases strongly preferred. Some evening/weekend work and travel work may be required, along with the need for flexibility in arranging work schedule to accommodate physicians’ availability. Hybrid working arrangement of 40% on-site at our Chicago suburb headquarters in Itasca, IL.
